Day-trip destinations and distances from Chennai
The standard excursion set, with the one-way road distance that decides whether your day is comfortable or a forced march. Bands are for the whole vehicle on our published basis — bus, fuel, driver and insurance in; tolls, parking, bata and 5% GST out.

What an excursion actually costs, by group size
A school trip is priced by vehicle, so the arithmetic that matters to you is rupees per student, and that is a function of how full the bus is.
One section of 40 – 45 students plus staff takes a 45 or 49-seat coach. Non-AC 3+2 at ₹11,000 – ₹12,500 for the local package works out at roughly ₹250 – ₹300 a head for a Mahabalipuram day, before tolls and parking. The same trip in an AC 2+2 coach at ₹16,000 – ₹18,000 is nearer ₹400.
A whole year group of 90 – 100 takes two 55-seat non-AC coaches at ₹12,000 – ₹14,000 each. Two coaches also means two teacher teams, two head counts and two reporting times — which is why we send one coordinator for multi-vehicle school bookings rather than leaving it to the class teachers.
A single class of 25 – 30 takes a 25 or 32-seater. This is the cheapest trip per head available, and it is also the size that gets into Kanchipuram's temple streets without a fifteen-minute walk at the end.
Two honest points on cost. First, an AC bus for a 90-minute run to the Crocodile Bank is money spent on nothing; save it and put the difference into the entry tickets. Second, for anything over four hours each way — Tirupati, Pondicherry, Yelagiri — the AC 2+2 coach is not a luxury, and a bus full of tired, overheated teenagers is a discipline problem you have paid to create.
The compliance pack a principal should demand
On the vehicle
- Current fitness certificate — ask for the date, not the reassurance
- Tamil Nadu contract-carriage permit, or an All India Tourist Permit if the trip leaves the state
- Valid passenger insurance covering every seat you are filling
- Emergency exit, first-aid box and fire extinguisher present and in date
- Speed governor fitted and working
On the driver
- Licence and badge, with police verification on file
- A second driver on any run planned over 12 hours of wheel time — included, not an extra
- A driver who has done the route before, which matters on the Yelagiri and Kodaikanal ghats
- Named driver and mobile number sent to the school by 6 pm the previous evening
On the paperwork
- Written quote naming the vehicle class, kilometre basis, bata days and every exclusion
- GST invoice against the institution's purchase order, at 5%
- Registration number confirmed in advance, so the bus at your gate is the bus you booked
- A named contact at our end who answers during the trip, not only during office hours
Seating plans, ratios and the practical rules
Count staff as passengers. A class of 45 with three teachers and an attendant is 49 people, and 49 people do not go in a 45-seater. This is the most common sizing mistake in school bookings and it is always discovered on the morning.
Keep two front rows for staff. Supervision works from the front and the door, not from the back. We plan the boarding order with the school so the rows nearest the door go to the people who need to get out first.
3+2 for short trips, 2+2 for long ones. Five across is entirely reasonable for 90 minutes to Mahabalipuram and unreasonable for four hours to Tirupati.
Luggage. Day trips carry bags in the boot on a coach and nowhere useful on a tempo traveller. Overnight college tours need an underbody boot, which starts at the 30-seat midi coach.
Food and stops. Tell us at quote stage where you intend to eat. A 55-seat coach needs somewhere to park while a hundred students have lunch, and that is a planning question rather than a driver's improvisation.
Multi-day college tours
College tours price differently from school excursions, because they run on the outstation basis: per kilometre against the daily minimum, plus bata for every calendar day the bus is away.
Three or four days is the usual shape — Kodaikanal at ₹78,000 – ₹1,10,000 for a 45-seat AC coach over three days and two nights, Ooty at ₹85,000 – ₹1,20,000, Rameswaram at ₹72,000 – ₹1,05,000, or Bengaluru at ₹58,000 – ₹88,000 with the Karnataka permit position decided before departure rather than at Hosur.
The lever students never think about is the departure time. Leaving a campus at 11 pm on a Friday to save a day of accommodation adds a full bata day to the bill, because the trip then touches Friday, Saturday and Sunday. Leaving at 5 am on Saturday removes it. On a four-day tour with 55 students that difference is real money and we raise it at quote stage.
For departments splitting a batch — one group to a plant, another to a site — we quote the coaches and the tempo travellers on one document with one reporting time, because two invoices from two operators is how college trips go wrong.
Booking in the November to February season
Chennai's education season is concentrated and predictable. November through February is when schools run excursions and colleges run tours and industrial visits, and it overlaps with the wedding season and the Sabarimala season, which means the whole city's coach fleet is committed at once.
Practical guidance: three to four weeks of notice for a November to February date, and more if you need multiple coaches on the same morning. A single 25-seater in July can be arranged in two days. Four 55-seaters on a January Friday cannot be arranged in two weeks.
Institutional payment is normal for us: quote against your purchase order, 25% advance to hold the vehicles, balance on completion, GST invoice at 5% in the institution's name. Schools that need the invoice raised before the trip for internal approval should say so — it is an ordinary request and we do it without fuss.
Questions we answer daily
How much does a school trip bus cost in Chennai?
₹7,500 – ₹9,000 for a 25-seat non-AC coach and ₹11,000 – ₹12,500 for a 45-seater, on the 10 hour, 100 km local package. A Mahabalipuram day trip in a 45-seat coach lands at ₹12,000 – ₹20,000 all-in, which is roughly ₹250 – ₹450 per student depending on class and occupancy.
What documents should a school ask for before booking a bus?
Five: current fitness certificate, permit (Tamil Nadu contract-carriage, or All India Tourist Permit if leaving the state), valid passenger insurance, the driver's licence and police verification, and confirmation that first-aid, fire extinguisher, emergency exit and speed governor are in place. We send all of them on request.
How many buses do we need for 100 students?
Two 55-seat non-AC coaches at ₹12,000 – ₹14,000 each, counting teachers and attendants as passengers — which is the step most schools miss. A hundred students plus eight staff is 108 people, so two 55-seaters is exactly right with no margin to spare.
When is the best time to book a school excursion bus?
Three to four weeks ahead for any date between November and February, which is peak excursion and college-tour season in Chennai and overlaps with weddings and Sabarimala. Off-season, in June to August, two or three days is usually enough for a single vehicle.
Do you give AC or non-AC buses for school trips?
Both, and the honest advice differs by distance. Under about two hours — the Crocodile Bank at 40 km, Mahabalipuram at 60 km — a non-AC 3+2 coach is the sensible choice. Over four hours, to Tirupati at 140 km or Yelagiri at 220 km, pay for AC 2+2.
Can the college pay by purchase order?
Yes. We quote against an institutional PO, take a 25% advance to hold the vehicles and invoice the balance on completion with 5% GST in the institution's name. If your approval process needs the invoice raised before travel, say so at booking and we will arrange it.
What does a three-day college tour to Kodaikanal cost?
A 45-seat AC coach over three days and two nights is ₹78,000 – ₹1,10,000 for the whole vehicle, with the hill surcharge of ₹1,500 – ₹2,500 on top. Three bata days are inside that band; tolls, parking and 5% GST are shown as separate lines on the institution's quote.
Is a second driver provided on overnight trips?
Yes, on any run we plan at more than 12 hours of wheel time, and it is included rather than charged as an extra. An overnight run to Rameswaram or Kodaikanal with a single driver is not something any school should accept from any operator, whatever the saving.
