Chennai bus hire cost calculator
The same six-line sum we build every quote on — kilometres against the daily minimum, bata by calendar day, permit, hill surcharge and GST — with nothing hidden and nothing sent to us until you want it.
In short
Your bus hire total is billed kilometres × the class rate, plus bata × calendar days, plus permit, plus the hill surcharge, plus 5% GST, plus tolls and parking at actuals. Billed kilometres are the higher of your actual distance and the daily minimum — 200 to 300 km a day depending on class. The calculator below runs exactly that, for eight classes.

Estimate your Chennai bus hire cost
Pick a class, tell it how far and how many calendar days, and it applies exactly the arithmetic on our rate card. Nothing is sent anywhere — the sum runs in your browser.
Tolls and parking are on top, billed at actuals with receipts. This is an estimate built from published bands, not a quote — send the same inputs on WhatsApp and you get the real number in writing within two working hours.
How this estimate is built
There is no clever model behind it. It is the arithmetic on our rate card, applied in order:
- Vehicle hire. Outstation: the greater of your actual garage-to-garage distance and the daily minimum for the class, multiplied by the per-kilometre band. Local: the 10 hr / 100 km package rate multiplied by the number of days.
- Driver bata × the number of calendar days the bus is away — not 24-hour blocks. Set that field to the number of dates the trip touches, which is often one more than you expect.
- Inter-state entry tax, which is nil on an All India Tourist Permit vehicle and a five-figure line on a Karnataka state-permit crossing.
- Hill-station surcharge of ₹1,500 – ₹2,500 where the route climbs a ghat.
- GST at 5% on the transport service.
- Tolls and parking, which the calculator deliberately does not guess at, because they are route-specific and we pass them through on receipts.
Set it to a 45-seat AC coach, two days, 700 km and two bata days and you get roughly what we would quote for a Bengaluru round trip. Change nothing but the permit dropdown from AITP to Karnataka state permit and watch ₹15,000 – ₹35,000 appear. That single toggle is the most expensive question in Chennai bus hire.
Four worked examples, pre-calculated
If you would rather not touch a form: these are the four shapes of trip we quote most often, run through the same sum. Tolls and parking are on top of every figure.
| Trip | Class and days | The sum | Estimated total |
|---|---|---|---|
| Chennai – Tirupati, one day darshan run, 140 km each way | 45-seat AC coach, 1 day, 1 bata day | 250 km minimum × ₹55 – ₹70, + ₹800 – ₹1,000 bata, + 5% GST | ₹26,000 – ₹36,000 all-in |
| Chennai – Pondicherry, one day, 170 km each way | 27-seat AC minibus, 1 day, 1 bata day | 340 km × ₹40 – ₹45, + ₹700 – ₹1,000 bata, + 5% GST | ₹18,000 – ₹28,000 all-in |
| Chennai – Bengaluru, two days one night | 35-seat AC coach, 2 days, 2 bata days | 700 km × ₹55 – ₹60, + ₹1,600 – ₹2,000 bata, + night halt, + 5% GST | ₹58,000 – ₹88,000 on AITP; add ₹15,000 – ₹35,000 on a state permit |
| Chennai – Kodaikanal, three days two nights, 520 km each way | 21-seat AC minibus, 3 days, 3 bata days | 1,100 km × ₹33 – ₹38, + ₹2,100 – ₹3,000 bata, + ₹1,500 – ₹2,500 hill, + 5% GST | ₹45,000 – ₹60,000; a 45-seat coach on the same trip is ₹78,000 – ₹1,10,000 |
What can still move your final quote
The calculator is honest about the structure but it cannot know six things, and those six are where a written quote differs from an estimate.
- The exact vehicle. A 2019 BharatBenz and a 2014 Ashok Leyland both seat 45 in 2+2, and they do not cost the same to run.
- Season. Wedding muhurtham dates in January to March, the November to February school-trip peak and the Sabarimala season all price at the top of the band; Aadi in July and August sits at the bottom.
- Your pickup geography. Garage-to-garage kilometres from our Chennai yard to Sriperumbudur at 5 am are not the same as to Adyar at 9 am.
- Return leg utilisation. A one-way heavy itinerary that brings the bus home empty prices differently from a there-and-back.
- Contract length. A staff-transport route booked for twelve months does not price like a single day.
- Waiting time. A bus that sits at a mandapam for seven hours is on hire for those seven hours, whatever the odometer says.
Questions we answer daily
How accurate is this bus hire calculator?
It applies our published bands exactly, so the structure is right and the range is real — but it is a range, typically 25 – 30% wide, because a class contains several vehicles. A written quote against a specific date and vehicle usually lands in the middle. Tolls and parking sit outside every figure shown.
Why does the total jump when I raise the number of days?
Because each extra day adds both a daily kilometre minimum and a bata day. On a 300 km minimum class, one extra day adds 300 billable kilometres even if the bus barely moves — which is why a three-day itinerary that could be done in two is the most expensive mistake on this page.
How do I count calendar days of bata?
Count the dates the trip touches, not the hours. Leaving 11 pm Friday and returning 2 am Sunday touches Friday, Saturday and Sunday, so enter 3, not 2. Moving that departure to Saturday morning drops it to 2 and saves ₹500 – ₹1,250.
Does the calculator include toll and parking?
No, deliberately. Tolls vary by corridor and parking is collected in cash at temples, hill lots and mandapams. We bill both at actuals with receipts attached to the invoice, rather than putting an invented average into an estimate you would then hold us to.
What should I enter for distance?
Your garage-to-garage estimate: the run from our Chennai yard out to you, the full itinerary, and back to the yard. If you only know the one-way road distance, double it and add about 10% for local running at the destination. Where that total falls below the daily minimum, the minimum is used.
Can I get a fixed price instead of a range?
Yes. Send the same inputs on WhatsApp and you get a written quote against a specific vehicle class, kilometre basis, bata-day count and permit position within two working hours. A 25% advance fixes it. Beyond that only extra kilometres, extra hours and actual tolls can change the figure.
Does the estimate change for a non-AC bus?
Yes, in two directions. The per-kilometre rate drops — ₹40 – ₹55 against ₹55 – ₹70 for a 45-seater — but the daily minimum rises from 200 – 250 km to 300 km. On short two-day trips the AC coach occasionally wins; on long ones the non-AC always does.
Is GST included in the total shown?
Yes, the estimated total line includes 5% GST on the transport service. It is shown as its own row above so you can see what it contributes — on a ₹90,000 trip that is ₹4,500, which is enough to make an untaxed quote look cheaper than it really is.
