Wedding guest transport in Chennai
Hotel-to-mandapam loops on muhurtham morning, multi-coach convoys for out-of-town families, and a quote written on a 12-hour basis because wedding days do not end when the package does.
In short
Wedding guest buses in Chennai run ₹7,000 – ₹9,500 a day for a non-AC minibus, ₹16,000 – ₹18,000 for a 45-seat AC coach and ₹27,000 for a 12-hour Volvo. We quote weddings on 12 hours rather than the standard 10 hr / 100 km package, because the extra-hour rate is ₹850 – ₹1,400 and muhurtham days overrun more often than they do not.

What a wedding fleet costs, by shape
Most Chennai weddings book more than one vehicle, so this table is arranged by the job each vehicle does rather than by seat count. Standard basis: vehicle, fuel, driver and insurance included; parking, tolls, bata and 5% GST separate and named.
| The job | Vehicle | Day rate | What to budget beyond it |
|---|---|---|---|
| Hotel to mandapam shuttle, looping | 25 or 27-seat minibus | ₹7,500 – ₹12,000 | Extra hours ₹750 – ₹1,000; mandapam parking |
| Main guest movement, one big lift | 45-seat AC coach | ₹16,000 – ₹18,000 | Extra hours ₹1,150 – ₹1,250 — the line that usually bites |
| Out-of-town family, arriving the day before | 49-seat AC coach or sleeper | ₹16,000 – ₹18,000 · sleeper ₹22,000 – ₹32,000 | Bata per calendar day for the night before |
| Senior relatives and priests | 17 or 20-seat tempo traveller | ₹6,500 – ₹8,500 | Door-to-door pickups add running time, not rate |
| Full-day prestige vehicle | 45-seat Volvo, 12 hr / 100 km | ₹27,000 | Extra hour ₹1,400; night allowance ₹1,000 |
| Multi-vehicle convoy, 3+ buses | Mixed fleet | from ₹30,000 a day | One coordinator from us, one reporting time, one invoice |

Plan the loop, not the bus
The mistake families make is booking a vehicle big enough for all the guests. The right question is how often guests need to move, because a wedding shuttle is a frequency problem.
Eighty guests in a hotel four kilometres from the mandapam do not need a 55-seater. They need two 25-seaters running a loop every twenty-five minutes from 6.30 am, because guests come down to the lobby in ones and twos over ninety minutes and nobody wants to sit on a full bus waiting for the last family. Two minibuses looping will move eighty people more comfortably, and often for less money, than one coach making two trips.
Conversely, moving a whole reception crowd from one venue to another at a fixed time is exactly what a 45 or 49-seat coach is for, and splitting that into small vehicles just multiplies the number of drivers who need directions.
Tell us the pickup window, the number of pickup points and the distance, and we will propose the fleet. It is the single most useful ten minutes in the whole booking.
Why we quote weddings on twelve hours
Chennai's standard local package is 10 hours and 100 kilometres. Wedding days are not ten hours. A muhurtham that starts at 7 am with guests collected from 5.30, followed by a lunch, followed by an evening reception at a second venue, is a fourteen-hour day for the bus.
The extra-hour rate is ₹750 – ₹1,000 on a minibus, ₹1,150 – ₹1,250 on an AC coach and ₹1,400 on a Volvo. Four unplanned hours on two coaches is ₹9,000 – ₹10,000 that nobody budgeted, arriving as a surprise on a day when the family has stopped counting.
So we quote the honest shape: a 12-hour basis where the schedule warrants it, with the overrun rate stated, and a note of what time the driver's day genuinely started. The total is higher than a ten-hour quote from somebody else. The final bill is usually lower.
Multi-day weddings and out-of-town guests
A Chennai wedding is rarely one day. Reception the evening before, muhurtham in the morning, a sendoff, and for many families a temple visit to Kanchipuram or Tiruttani afterwards.
Bringing guests in from outside the city is where the bata arithmetic matters. A coach that collects a family group from Madurai on Friday evening, stays in Chennai overnight, works the muhurtham on Saturday and returns them on Sunday touches three calendar days — three bata days at ₹800 – ₹1,000 each, plus a night halt where the bus sleeps away from our yard. That is not a hidden charge; it is arithmetic, and it appears on the quote as three lines you can read before you pay.
Common out-of-town routes: Madurai, Trichy, Coimbatore, Salem, Tirunelveli and Bengaluru. Anything from Bengaluru should be on an All India Tourist Permit vehicle — a state-permit coach pays ₹15,000 – ₹35,000 in Karnataka entry tax on the way out, which is a startling addition to a wedding budget.
The coordinator's checklist
Two weeks out
- Confirm the guest count by pickup point, not in total — that is what decides the fleet
- Check mandapam parking: how many buses the forecourt takes, and where the others wait
- Agree the muhurtham-morning reporting time, which is usually 90 minutes before the first guest expects it
- Tell us about decoration or garlanding on the vehicles so it is arranged, not improvised
The day before
- Driver names, mobile numbers and registration numbers reach you by 6 pm
- One family member per vehicle nominated as the contact — not the groom's brother, who will be busy
- Share the loop schedule with the hotel's front desk so guests are told the same thing we are
- Confirm the evening venue if it differs from the morning one
On the day
- Buses report at the agreed time and stay with the family's schedule, not the clock
- Extra hours are recorded as they happen and shown on the bill, not estimated afterwards
- Our coordinator handles multi-vehicle convoys so the family does not brief four drivers
- Final parking and toll receipts attached to the invoice
Season, lead time and mandapam parking
Tamil wedding seasons run January to March, April to June and August to September, working around Aadi in July and August and Margazhi in December and January. Those months are when Chennai's coach fleet is most committed, and they overlap with the school-trip season in November to February.
Most families decide transport two to eight weeks out. For a single minibus that is ample. For three or four coaches on a major muhurtham date, two weeks is tight and eight is comfortable, and the vehicles that vanish first are 45 and 49-seat AC coaches.
Parking is the practical constraint nobody checks. Many Chennai mandapams have a forecourt that takes one coach and a road outside that takes none, particularly in T Nagar, Mylapore and around the older temple streets. We look at the venue before quoting a 45-seater and will sometimes recommend smaller vehicles purely because of where they can stand. It is a better conversation to have two weeks early than at 6.40 on muhurtham morning.

Questions we answer daily
How much does a bus cost for a wedding in Chennai?
₹7,500 – ₹12,000 a day for a 25 or 27-seat shuttle minibus, ₹16,000 – ₹18,000 for a 45-seat AC coach and ₹27,000 for a 12-hour Volvo. Extra hours are ₹750 – ₹1,400 by class, and mandapam parking, tolls, driver bata and 5% GST sit outside those figures.
How many buses do I need for 100 wedding guests?
It depends on the loop, not the headcount. A hundred guests four kilometres from the mandapam are usually better served by two 25-seaters running every twenty-five minutes than by two 45-seaters making one trip each — guests arrive in ones and twos, and frequency beats capacity.
Why do you quote 12 hours instead of the usual 10?
Because wedding days overrun. Guests collected from 5.30 am, a morning muhurtham, a lunch and an evening reception is a fourteen-hour day for the bus, and the extra-hour rate is ₹1,150 – ₹1,250 on an AC coach. A 12-hour quote is higher on paper and usually lower on the final bill.
Can you bring guests from Madurai or Bangalore?
Yes. Budget for calendar-day bata: a coach that collects from Madurai on Friday, works Saturday and returns on Sunday is three bata days plus a night halt. From Bengaluru, insist on an All India Tourist Permit vehicle — a state-permit coach pays ₹15,000 – ₹35,000 in Karnataka entry tax.
Do you decorate the buses?
We arrange garlanding and simple floral work on the guest vehicles when you ask at booking, and we keep it to what does not obstruct the driver's view or the doors. Decorated bridal cars are our sister brand chennaicarrentalss.com, not us — we carry the guests.
How far in advance should wedding buses be booked?
Two to eight weeks is the normal window and eight is safer for a major muhurtham date in January to March, April to June or August to September. Three or four coaches on the same morning in peak season need a month; a single minibus in Aadi can be arranged in two days.
What if the mandapam has no bus parking?
We check before quoting. Many venues in T Nagar, Mylapore and the older temple streets take one coach in the forecourt and none on the road. Where that is the case we will recommend smaller vehicles or a drop-and-return pattern with an agreed holding point rather than discovering it on the morning.
Can one vehicle cover reception, muhurtham and sendoff?
Usually yes, over two or three days, and it is cheaper than booking fresh vehicles each day because you keep the same driver who already knows the venues. Budget a bata day for each calendar day the bus is committed, plus a night halt if it stays away from our yard.
